Common Issues With Your Printer

Common Printer Issues

Whatever industry or type of workplace you work in, if the printer begins playing up when you need to use it, frustrations can mount quickly.

Here at Paw Print Copiers, we have been repairing printers of all sizes and models for many years and in our latest post, we have put together a list of the most commonly reported problems with printers.

Paper Jams

This is a sign that you don’t want to see when trying to print your documents in a hurry. Paper jams can occur due to a few reasons, including using the wrong paper size or loading the paper incorrectly. To fix this issue you will usually just need to remove the jammed paper manually or realign the paper

The Printer Won’t Print

You’ve sent your document to the printer and for some reason, the printer won’t spring into life and begin printing. If you haven’t got an error message pointing you to the problem, try checking that the printer is still connected to a USB or Ethernet cable. If you are using a wireless network, make sure the correct network has been selected.

If you’re sure that your printer is sufficiently connected, you may also try checking the printer driver which may need to be reinstalled. If you are still having trouble, take a look at your user manual for any other instructions.

Low or Poor Print Quality

It can be frustrating when your printer is working, but the results are faint, streaky, or uneven. Poor print quality is often linked to issues such as low ink or toner levels, clogged print heads, or incorrect print settings. For inkjet printers, running a print head cleaning cycle can often help restore sharpness. For laser printers, replacing the toner cartridge or checking the drum unit may be necessary. Also, make sure you’ve selected the correct paper type in your printer settings, as this can affect how ink or toner is applied. If the problem persists, it may be a sign of worn-out components, in which case a professional service or maintenance check could be the best option.

Slow Printing Speeds

Waiting for a document to print when you’re on a tight schedule can be very frustrating, especially if it’s only a few pages. Slow printing can be caused by a number of factors, such as high-resolution print settings, outdated drivers, or even too many jobs in the print queue. If you’re printing everyday documents, lowering the print quality to a standard or draft mode can significantly speed up the process. Also, check that your printer firmware and drivers are up to date, as manufacturers often release updates that improve performance. For networked printers, a slow connection can also be the culprit, so switching to a wired connection may help improve speed.

Connectivity Problems

Modern printers and photocopiers rely on various connection methods, from USB cables to Wi-Fi and Bluetooth. When connectivity issues arise, they can halt productivity altogether. If your printer is Wi-Fi enabled but keeps dropping the connection, try moving it closer to your router or reducing interference from other devices. Ensuring your printer is set to the correct network and has the latest firmware can also help. For wired printers, double-check cable connections and try a different port if necessary. Sometimes, simply restarting both the printer and your computer can clear any temporary glitches. If the problem continues, resetting your network settings and reconnecting the printer from scratch is often an effective solution.

Error Messages and Codes

Seeing a mysterious error code on your printer’s display can be unsettling, especially if you’re in the middle of a print job. While some messages are straightforward, others require a bit of investigation. Many printer manufacturers have online databases where you can search for the meaning of specific error codes. Common issues include low toner warnings, paper feed errors, or cover open alerts. It’s important not to ignore these messages, as they’re designed to prevent damage to the printer or poor-quality prints. If you can’t resolve the issue using the user manual or online resources, contacting a professional repair service can save time and prevent further complications.

Printer Keeps Running Out of Ink or Toner

It’s always inconvenient when your printer seems to burn through ink or toner far too quickly. High ink usage can be caused by printing in colour unnecessarily, using high-resolution settings for all jobs, or running frequent cleaning cycles. Switching to draft mode for basic documents and printing in black and white when colour isn’t needed can help prolong cartridge life. For businesses, considering a managed print service can ensure a steady supply of ink or toner while optimising print efficiency. It’s also worth checking for any leaks or faults in the cartridge system, as these can lead to waste. Storing cartridges correctly and using genuine replacements can also improve longevity.

Printer Ink Low

The accuracy of a low ink warning will vary between the make and model of your printer, so you may not actually need to go out and buy more ink the day you spot the warning sign.

The only way to know exactly how much ink you have left is to keep using your printer as normal until the quality drops or until the printer stops printing.

When the low ink warning flashes up again in the future, you will know roughly how much more you can print until you’ll need to invest in new ink.
